Privacy Policy

This Privacy Policy explains how Trivian Edge (“we”, “us”) collects, uses, and protects personal data when you use the Aether Logistics OS platform (the “Service”). It applies to account holders and their users. Where we process personal data on behalf of a customer organization, we act as a processor and the customer is the controller.
1. Data we collect
- Account data — name, work email, organization, role, and authentication data.
- Operational data — shipments, quotations, documents, customs and financial records you enter or upload.
- Usage data — log, device, and diagnostic information generated when you use the Service.

2. How we use data
We use personal data to:
- provide, secure, and support the Service and authenticate users;
- process shipments, documents, and financial workflows you initiate;
- send transactional messages (for example, account, security, and workflow notifications);
- monitor reliability, detect abuse, and improve the Service;
- comply with legal, tax, customs, and sanctions-screening obligations.
3. Legal bases
Where the GDPR or similar laws apply, we rely on the following legal bases: performance of a contract, our legitimate interests in operating and securing the Service, compliance with legal obligations, and your consent (for example, for non-essential cookies and marketing email).
4. Cookies
We use the following categories of cookies and similar technologies:
- Strictly necessary — required to sign in and operate the Service; always on.
- Analytics — help us understand usage so we can improve the Service; optional.
- Marketing email — governs whether we send non-transactional email; off by default.
You can review and change your choices at any time through the cookie preferences on the Service.
5. Sharing and sub-processors
We do not sell personal data. We share data with service providers who process it on our behalf under contract, including cloud hosting and database infrastructure, transactional email delivery, and — only when you enable the relevant integration — banking, accounting, tax, carrier, and tracking providers. We may also disclose data where required by law.
6. International transfers
Data may be processed in countries other than your own. Where required, we use appropriate safeguards such as standard contractual clauses for cross-border transfers.
7. Retention
We retain personal data for as long as needed to provide the Service and to meet legal, accounting, customs, and tax requirements. Customer Data is retained per your subscription agreement and deleted in the ordinary course after termination, subject to legal holds.
8. Security
We maintain administrative, technical, and organizational measures designed to protect personal data, including encryption in transit, tenant isolation, role-based access controls, and audit logging. No system is perfectly secure, and you are responsible for safeguarding your credentials.
9. Your rights
Subject to applicable law, you may request access to, correction of, export of, or deletion of your personal data. The Service provides self-service data export and data-deletion tools, and you can also exercise these rights by contacting us. Where we act as a processor, we will direct requests to the relevant customer organization or assist them in responding.
10. Children
The Service is a business tool not directed to children, and we do not knowingly collect personal data from anyone under 16.
11. Changes
We may update this Policy from time to time. If we make a material change we will take reasonable steps to notify you, and the “Effective” date above will be updated.
